What is included in a complete website and CRM package for a football academy?

The whole front end: a website built for search and AI answer engines with trials bookable from a phone, hosting and domain, branding and matchday graphics, a CRM configured around players, parents and age groups rather than generic sales stages, the automations that handle trials, subscriptions, consent forms, attendance and camps, an AI chatbot for the questions parents ask in the evening, email and SMS, and Google and Meta accounts set up and tracked. It is scoped per academy, so whatever already works we leave alone.

How much does it cost?

Price on application, and that is not evasion. A one-coach academy running two age groups is a different build to a club with fifteen squads, a camp programme and a shop. Some have branding already, some need registration and payments wired in, some only want the site and the trial booking sorted. We scope it, price it, and you see the number before anything starts. Publishing a headline figure we would not honour helps nobody.

How quickly can an academy start getting trial bookings?

It depends on your area and how much of the stack you need. How does it handle safeguarding records?

By keeping the records straight, without pretending to be your safeguarding policy. The system holds which coaches have a current enhanced DBS check and when each expires, who has completed safeguarding training, who your designated safeguarding or welfare officer is, and which consent, medical and photo permissions you hold for each player. It prompts before something lapses rather than after. What it does not do is make the judgement calls: you still need a named safeguarding lead, a published policy and whatever training your governing body requires, and the site should state plainly, on a page parents can find, that you have all three.

Can it take recurring payments for weekly sessions?

Yes, and it is usually the single biggest admin win. Session fees run as a subscription per player instead of a monthly bank transfer you have to chase, with pro-rata for a mid-month start, pauses over the off-season and automatic retries when a card fails. Sibling discounts and multi-session pricing are set up once rather than worked out by hand. The useful part is that payment status sits on the same record as attendance, so you can see who is training and not paying without holding a bank statement next to a register.

Do we need a CRM if we already use a league or club registration system?

Usually yes, because they do different jobs. A registration system records players who have already joined, for the season, for the governing body. A CRM records everyone before that: the parent who enquired in March, the trialist who came once and never came back, the player who left last year and is old enough for the next age group now. Most academies know exactly who is registered and nothing at all about who they lost. We connect the two rather than replace what already works, and where a registration system is genuinely closed we say so during scoping and build around it.

How do you handle communication with parents?

Parents are the customer and the players are the users, which most academy sites get the wrong way round. In the CRM the parent is the contact who pays and receives messages, and the player is the record that age group, squad and attendance hang off. That means a pitch closure goes to one age group rather than everyone, a kit order goes out with the right sizes, and a holiday camp goes to the parents of the right age range. A parent with three children at the club gets one message, not three.

Who actually does the work?

We do, end to end. The reason this is one package rather than five suppliers is that the handovers are where these projects fail: the web designer blames the payments provider, the payments provider blames the booking app, and you are sorting it out on a Sunday morning between sessions.
