The Complete Setup · Tour operators, charter & travel

Website, CRM & marketing package for tour operators & travel firms

The whole front end of a travel business, built and wired together. Website, CRM, automations, chatbot, email, ads, branding. You run the trips.

Price on application. Scoped per business — you see the number before anything starts.

Travel gets researched for weeks and booked in a moment. An enquiry that lands on a Sunday evening and gets a reply on Tuesday morning has usually already booked with whoever answered first, which makes response speed a commercial decision rather than an admin one.

Then the booking itself is a paper trail with dates attached: deposit, passenger details, balance due, protection paperwork, joining instructions. Most operators run that from a spreadsheet and a good memory, and the items that slip through are never the cheap ones.

Your CRM

Set up for this industry, not a generic pipeline

  • Party size, lead passenger and travel dates on the record from the first enquiry
  • Deposit paid, balance due and documents issued as pipeline stages, not notes
  • Passenger details tracked as complete or outstanding, per traveller
  • Departure date driving the reminders, so nothing depends on a diary entry
  • Past travellers tagged by trip and season, so the next mailing is relevant

Integrations

Wired into what you already run

  • Your reservations or itinerary-building system
  • Card payments, deposits and staged balance payments
  • Supplier and manifest management, however you run it
  • Document issuing for invoices, tickets and protection certificates
  • Accounting, including client money handled the way you handle it
  • Review platforms
  • Email marketing
  • Google Ads and Meta

Where a system is genuinely closed, we say so during scoping and build around it.

Or take one piece

You don't have to take all of it

Every part of the package is a service in its own right.

Questions

What is included in a complete website and CRM package for a tour operator?

The whole front end of the business: a website built for search and AI answer engines, hosting and domain, branding and graphics, a CRM configured around bookings, passengers and departure dates rather than generic sales stages, the automations that carry an enquiry through deposit, passenger details, balance and departure, an AI chatbot for the research-stage questions, email marketing to past travellers, and Google and Meta accounts set up and tracked. Anything you already have that works, we leave alone.

How much does it cost?

Price on application, and that is deliberate. A single-destination operator running eight departures a year needs a fraction of what a charter business with dynamic itineraries and multiple suppliers needs, some firms already have a reservations system to integrate rather than replace, and some want paid search from day one. We scope it, price it, and you see the number before anything starts. A headline figure we would not honour is worse than no figure.

How quickly can a travel business start getting enquiries?

It depends how much of the stack you need and how competitive your niche is. What we can point to is Fast Track Leasing, which now gets around five enquiries a day from search, with £0 spent on ads to get them, off the back of 400+ pages answering what customers search for. That is a different industry and results vary by market, so read it as evidence the method works, not a projection. Travel search is also seasonal, so organic work usually aims at the next booking window while ads cover the current one.

Can it handle deposits now and balances due months later?

Yes, and that is one of the more valuable pieces. The deposit is taken at the point of commitment and the balance date is calculated from the departure date, so the reminder schedule builds itself. Travellers get a sequence of nudges before the due date rather than one awkward chase after it, and you get a single view of who has paid what. Where you run staged instalments or a low-deposit offer, the schedule is configured to match how you actually sell.

How does it handle passenger details and protection paperwork?

Passenger details come in through one secure form per booking, so the lead passenger can fill in the whole party rather than you collecting names by email. The CRM tracks each traveller as complete or outstanding and chases the gaps. Protection documents and confirmations go out with the booking confirmation the way you already issue them, on your templates. We build the workflow around your obligations as a licensed or bonded operator rather than telling you what those obligations are.

Will it work with the reservation system we already use?

Usually. Most reservations and itinerary platforms expose an API or a webhook, and where they do we wire straight in so an enquiry does not get re-keyed into three places. Where a system is closed, we say so during scoping and design around it, which normally means the CRM owns the enquiry and quoting side and the reservation system keeps the confirmed booking. You find out which before anything is committed.

What does the AI chatbot do for a travel business?

It handles the research-stage questions that come in at all hours: what is included, what the single supplement is, how fit you need to be, whether flights are part of the price, what happens if the weather turns. It answers from your own trip information rather than making things up, and anything it cannot answer becomes a captured enquiry with the conversation attached, so a late-night browser turns into a name you can follow up rather than a bounce.

Who actually does the work?

We do, end to end. The reason this is one package rather than five suppliers is that the handovers are where these projects fail: the developer blames the marketer, the CRM consultant blames the developer, and the operator is holding it together between departures. HDC covers development, marketing, CRM, integration and process design, so when a trip changes or a season shifts there is one number to ring.
