The Complete Setup · Podcasts, creators & media brands

Website, CRM & marketing package for podcasts and creators

The whole front end of a media business, built and wired together. Website, CRM, automations, chatbot, email, ads, branding. You make the show.

Price on application. Scoped per business — you see the number before anything starts.

Your audience lives on platforms that own the relationship. You get a download count and no names, no email addresses and no way to reach anybody if a platform changes its terms. The site is where borrowed attention becomes an audience you actually hold.

The second problem is the weekly grind. Publishing an episode properly means show notes, a transcript, chapters, clips, a newsletter and a handful of posts, and the shows that stop are almost never the ones that ran out of things to say.

£0

spent on ads to get them

400+

Your CRM

Set up for this industry, not a generic pipeline

  • Sponsors on their own pipeline: enquiry, media pack, rate agreed, campaign run
  • Slot type, rate and renewal date held against every advertiser
  • Guests tracked separately, with pitch, recording and release dates
  • Paying members and free subscribers distinguished, because they get different emails
  • Which episode brought each subscriber in, so you know what actually grows the list
  • Campaign end dates surfaced before a sponsor quietly stops replying

Integrations

Wired into what you already run

  • Your podcast host and RSS feed, whichever you publish through
  • Video platforms you post to
  • Transcription, through whatever service you already use
  • Email marketing and newsletter platforms
  • Recurring payments for memberships and paid subscriptions
  • Sponsorship and ad reporting, including dynamic ad insertion if you run it
  • Merchandise and digital product sales
  • Google Ads and Meta

Where a system is genuinely closed, we say so during scoping and build around it.

Or take one piece

You don't have to take all of it

Every part of the package is a service in its own right.

Questions

What is included in a complete website and CRM package for a podcast or media brand?

The whole front end of the operation: a website built for search and AI answer engines, hosting and domain, branding and graphics, a CRM configured around sponsors, guests and members rather than generic sales stages, the automations that turn one upload into an episode page, a transcript, a newsletter and a set of clips, an AI chatbot, email marketing, and Google and Meta accounts set up and tracked. It is scoped per show. If your host and your newsletter already work, we publish into them rather than move you off them.

How much does it cost?

Price on application, and that is not evasion. Scope genuinely varies: a single interview show that needs episode pages, transcripts and an email list is a different build to a media brand with several titles, a membership, a shop and a sponsorship pipeline. We scope it, price it, and you see the number before anything starts. Publishing a headline figure we would not honour helps nobody.

How quickly can a show start getting enquiries and subscribers?

It depends how much you have already published and how much of the stack you take. What we can point to is Fast Track Leasing: around five enquiries a day from search, with £0 spent on ads to get them, off the back of 400+ pages answering what customers search for. That is a commercial market, not a media one, and we would not promise you the same numbers. The parallel that does hold is volume. A show with a hundred episodes and transcripts has a hundred indexable pages of real material, and that back catalogue is the asset most creators are sitting on and not using.

Do transcripts really bring in search traffic?

Yes, and it is the least glamorous advantage available to a show. Audio does not rank; text does. A full transcript turns an hour of conversation into a page that search engines and AI assistants can read, quote and cite, which is how shows pick up traffic on subjects they only covered in passing. It also makes the episode usable for deaf and hard-of-hearing listeners. We generate them on upload and put them on the episode page rather than behind a download, because a file nobody opens does neither job.

How does this help me get sponsors?

By removing several rounds of email. A sponsor enquiry form captures the brand, the budget and the slots they are interested in, then the media pack goes out immediately with your audience numbers, demographics, download figures and rate card, and the enquiry lands on a sponsor pipeline instead of your inbox. Renewal and campaign end dates sit on the record so you approach them before they drift. Use real numbers. Brands measure independently, and an inflated figure loses a sponsor permanently rather than briefly.

Can it run paid memberships or subscriptions?

Yes. Recurring billing, member-only content, private feeds and community access are all standard, and the awkward parts are handled rather than left to you: failed cards, upgrades, pauses and cancellations. For most creators a small proportion of the audience paying directly is worth more per listener than advertising, and it is far less exposed to a platform changing its payout terms. Whether it is right for you depends on whether there is something worth paying for beyond the free show, and we will say so if we think there is not yet.

Will it work with my podcast host, or do I have to move?

Usually no move is needed. Most podcast hosts publish an RSS feed and many offer an API, and where they do we pull episodes onto your site automatically so publishing stays a single step. Some platforms are more closed than others, and some video services limit what can be embedded or exported. Where that is the case we say so up front and build around it, normally by making your site the place an episode is created and pushing outwards from there. That assessment happens during scoping, not after you have paid.

Who actually does the work?

We do, end to end. The reason this is one package rather than five suppliers is that the handovers are where these projects fail: the developer blames the marketer, the CRM consultant blames the developer, and you are managing all of them in the week you were supposed to be recording. HDC covers development, marketing, CRM, integration and process design in one team, so there is one number to ring when something needs changing.
