Airtable

The flexible database that stores and organises every lead we capture.

Airtable is a cloud database that looks and feels like a spreadsheet but works like a proper relational database. It stores structured records, links them together, and exposes them through an API, forms and views. HDC uses Airtable as the single home for the leads a client's site captures, so every enquiry lands in one organised, searchable place the team can act on and report from.

Where it shines

  • Spreadsheet-simple to use, with the power of a real relational database underneath
  • A clean API, so website forms can write leads straight in, automatically
  • Views, filters and grouping make it easy to sort, chase and report on enquiries
  • Links records together (leads, clients, projects) without duplicating data
  • Fast to shape around a client's exact fields and process, no developer needed to browse it
  • One organised source of truth instead of leads scattered across inboxes and tools

Trade-offs to weigh

  • Not a full CRM on its own, complex sales pipelines can outgrow it
  • Costs scale with records, seats and automation as usage grows
  • A hosted third-party service, so data lives in Airtable's cloud (something to plan for on privacy)

What Airtable is

Airtable is a cloud database that feels like a spreadsheet. You work in familiar rows and columns, but underneath sits a proper relational database: fields have real types, tables can be linked together, and everything is reachable through an API, forms and filtered views. That combination is the point, it’s approachable enough for anyone on the team to use, yet structured enough to trust as the backbone for real business data.

Where a spreadsheet sprawls into tabs and broken formulas, Airtable keeps information tidy and connected. A “leads” table can link to a “clients” table, which links to “projects”, with no copied-and-pasted duplication. Views let the same data be sliced different ways, new enquiries first, this month’s wins, everything from one campaign, without ever changing the underlying records.

How HDC uses Airtable

For our clients, Airtable is first and foremost the organised home for the leads their website captures. In practice:

  • We point site forms straight at Airtable, so every enquiry is written in automatically as a clean, structured record, name, contact, service, area, source and date.
  • We shape the fields around the business, so the data captured is exactly what the team needs to qualify and follow up.
  • We build views that make follow-up obvious, new leads not yet contacted, calls booked, work won, so nothing is missed.
  • We connect it to the rest of the pipeline with automation, so a new record can trigger an alert and a confirmation email, and feed reporting.

Why we apply it

Leads are only valuable if they’re acted on, and they get lost when they’re scattered across inboxes, phones and notebooks. Airtable gives every enquiry one place to live, organised, searchable and shared, so the team can see what’s new, who’s been contacted and what happened next. That alone turns more of the same traffic into booked work.

It also gives owners visibility they usually lack: how many enquiries the site actually generates, where they come from, and how many convert. And because it’s genuinely easy to use, the client can open it and understand their own data, rather than depending on a developer to pull a report.

How Airtable fits our stack

Airtable sits at the centre of the lead pipeline. A form on an Astro site posts the enquiry straight in, then automation via Zapier or Make fans it outward, an instant alert to the team, a confirmation email through Brevo, and any sync to other tools. So Airtable is both the destination that stores every lead and the source other steps read from, the tidy record at the heart of a fast, automated follow-up.

When Airtable isn’t the right tool

Airtable is superb for capturing, organising and lightly managing leads and structured data, but it isn’t everything. A business running a complex, multi-stage sales process with forecasting and deep automation may need a dedicated CRM, Airtable can feed one rather than replace it. Very large datasets or heavy transactional workloads belong in a traditional database like PostgreSQL. And because it’s a hosted service, it’s worth planning where data lives for privacy. For keeping every enquiry organised and acted on, though, it’s the tool we reach for first.

Worked example

Every enquiry in one organised place

Picture a growing trades business whose leads used to live in a shared inbox, a notebook and two people's phones, with no one sure which had been called back. We point their website's contact and quote forms at Airtable. Now every enquiry lands as a tidy record, name, contact, service, source and date, in one table the whole team can see. A simple view shows "new leads not yet contacted" at the top, another groups won work by month. Nothing gets lost, follow-up is obvious, and the owner can finally see how many enquiries the site brings in and what happens to them. (Illustrative, every setup is scoped to your business.)

Airtable: your questions answered

What is Airtable and what is it used for?

Airtable is a cloud-based database that behaves like a friendly spreadsheet. You store information as records in tables, link related tables together, and view the data in grids, calendars or filtered lists. Businesses use it to organise almost anything, we use it mainly to store and manage the leads a website captures, so every enquiry sits in one structured, searchable place.

How does HDC use Airtable for my leads?

When someone submits a form on your site, the details are written straight into an Airtable table built around your fields, service, area, budget, whatever matters to you. From there the team can filter to new enquiries, mark who's been contacted, and report on volume and outcomes. It turns a messy pile of emails into one organised record you can actually work from.

Is Airtable a CRM?

It's a flexible database that can act as a lightweight CRM, and for many small businesses that's exactly enough, a clear place to capture, track and follow up leads. For complex, multi-stage sales pipelines a dedicated CRM may fit better, and Airtable can feed data into one. We recommend the simplest setup that keeps your enquiries organised and nothing slipping through.

Where is my Airtable data stored, and is it secure?

Airtable is a hosted service, so records live in its cloud, protected with encryption and access controls, and reached over secure connections. We set up sensible access so only the right people can see your leads, and we handle the data in line with your privacy policy and UK data-protection expectations. If you'd prefer data kept elsewhere, we'll design the pipeline around that.

Why does HDC use Airtable instead of just a spreadsheet?

A spreadsheet quickly becomes a mess of tabs, duplicate rows and broken formulas once real leads flow in. Airtable keeps the same easy, familiar feel but adds structure, a clean API for forms to write into, linked records, and proper views, so the data stays organised as it grows and the team can trust it. It's the reliable home your enquiries deserve.
